Creating a Task from Diagnostics

The Task module turns the prioritized list of Diagnostics findings into a list of action items to tackle yourself or assign amongst your team. You can create a new Task directly from the Diagnostics module. The new Task will maintain a direct link back to the detailed Diagnostic result. Utilizing the Tasks module is a valuable way to manage proactive maintenance and keep track of the resolved issues.

New tasks can be created directly from the Diagnostics module. After identifying a Problem or Opportunity you’d like to investigate further, click on the “Actions” column, which will open the drop down menu (as seen below). Select the “Create New Task” option.



 



In the appropriate text boxes, as seen below, create a new Task by filling in the following information:

1) Summary: A brief, one line, description of the issue

2) Assignee: choose an Assignee from the drop down menu. The list is populated with users from your Organization.

3) Describe the Issue: Provide a more detailed explanation of the issue. What did you see in the Diagnostic Result? What do you think is the root cause? Etc.

4) What should be done (Recommendations): Based on your knowledge of the site and equipment, what should the Assignee do to investigate or resolve the issue?

5) What has been done? This is meant for the Assignee to log the action they took to resolve or further investigate the issue.  This is usually left blank when initially creating a Task.

6) The “Status” drop down menu lists 3 options, each indicating a different level of completion for this specific task. The default option for a new task is “In Progress”.

7) Click “Create Task” when all required text boxes are filled out. Make sure the ‘Email Assignee’ box is checked if you’d like them to receive an email notification information that that they’ve been assigned as Task.



 



Viewing and Tracking Tasks

Once a new task has been created, progress can be viewed and tracked in the Task module. The Tasks module enables users to effectively manage open and completed tasks, track progress, provide additional details, and drive corrective action.

The module displays existing Tasks in a table, which can be filtered and sorted by Date Range, Status, and Assignee. Each column header is also clickable to easily sort your Tasks by the desired column.

To edit a Task, click the “pencil icon”.   This will allow you update the status of a task, add or change the description/recommendation/action, Annual Avoidable Costs, Annual Avoidable Cooling, Electric and Heating, Annual Avoidable Carbon, and Additional Savings. Once a task has been resolved, the assignee should use this window to change the status of the task to ’Completed’ and record the actions taken to resolve the issue.





After a task has been updated, a user can also click "Recalculate all annual avoidable costs on update" of that task which will regenerate the associated costs with the task that is being updated.
