Documents

Users can use Documents to store information with specific systems and equipment and share them with service providers, maintenance technicians, engineers, and others.  Documents such as testing and balancing reports, calibration notes, maintenance manuals, system diagrams and details, and more can be made available to users of your choice anywhere, anytime.

The documents module is an optional module where you can store and tag documents relevant to the equipment in the building. You can upload new documents to the system using the “File Manager” tab.  Each document is assigned a file class and file type.

To add a new file:

1)   Select the file class and type from the drop down list.

2)   Click the plus sign to the right of the “Add File” option on the left.

3)   Click the “Select” button and navigate to the file on your computer to be uploaded.

4)   Once you have selected the file, or multiple files, click the checkmark icon on the left to upload the document.  Please note that the maximum file size you may upload is 10 MB.

Once you have uploaded a document, you can tag it to multiple buildings or equipment using the “File Tagger” tab.  To tag a file to a building, select the building from the drop down list, then select the file class and type of documents to be tagged.  Next, drag and drop the documents from the left hand side to the right hand side to tag it to that building.  You can follow the same procedure to tag documents to equipment by also selecting a piece of equipment in the building from the drop down menu.

To view documents associated with a building under “File Browser”, click the plus sign next to the client name at the left and select the building of interest.  Here you will see building documents relevant to analyzing and assessing mechanical system issues in the building.  You can also select specific equipment to view documents related to that piece of equipment.  All documents can be downloaded using the “Download” link located on the right next to each document.
